The National Remember Our Troops Campaign is a 501(c)(3) military and veterans charity dedicated to remembering the service and sacrifice of all military servicemembers, all veterans and their families, supporting those in need and letting them know they are not forgotten.
Welcome To NROTC’s Event Coordinator Portal. We are glad you’re here!
Here we want to help by providing additional information that you will be needing.
You really should bookmark this page, add it to your favorites or write it down. You’ll be wanting to refer back to this page often.
You are not officially hired until NROTC has signed-off on your DIVISION EVENT COORDINATOR AGREEMENT
If you haven’t received a copy of your Authorized Event Coordinator Agreement yet, send this to NROTC: DIVISION EVENT COORDINATOR AGREEMENT
Apply to NROTC as a PAID TABLEREP if you haven’t already. This way you will earn commissions any time you personally host a donation table. Apply HERE
Please take a moment to submit this (required) online form to register with our Human Resources Department: HERE
We will also be needing your EMPLOYMENT PAPERWORK. – We only need this once.
If you haven’t sent this yet SEND IT NOW!… We can’t do payroll without it.
All Division Event Coordinators are required to join our Event Coordinator FACEBOOK GROUP because this is where many critical updates are posted and questions are answered. Join us on FACEBOOK at:
If you do not have a FACEBOOK account, you’ll need to create one.
All Event Coordinators are invited to become NROTC.ORG Affiliates. You will receive commission on website donations when people are using your special NROTC Affiliate link/code. Click here to register: nrotc.org/be-an-affiliate
NROTC has two types of Table Representatives, (Tablereps), Paid and Volunteer.
Initially, your job will be to recruit PAID Tablereps.
NROTC prefers volunteers because we can use a larger percentage of donation dollars for mission instead of commission. When we hire a new Event Coordinator we try to help you start earning money right away by having you first recruit PAID Tablereps. Its quicker and easier. Later after you have a number of PAID Tablereps and you are earning some money… and have become more familiar with our operations, we would like you to start concentrating on recruiting volunteers. Information on recruiting volunteer tablereps can be found HERE
A Note To All New Hires: While this is a mostly work-at-home job, you must be willing to travel from time to time, on days of your choice, while working with your tablereps… Its fun!!!
Note: It is NOT necessary to personally show up at every fundraising event to train each new tablerep. This activity is simple enough and with the online training and materials that we provide, this can all be accomplished WITHOUT YOU BEING THERE PERSONALLY!… Email and phone conversation is usually all that is necessary!
We do expect you to get started right away after being hired and be willing to work at least 30 hours per week. We will be monitoring for activity on your part.
Our pay period ends each Sunday night at midnight. Each week before midnight on Monday we require that you go online and submit a “WEEKLY ACTIVITY REPORT”. This report has nothing to do with payroll. We just need to know that you are, (As per your Event Coordinator Agreement) working and using your “Best Efforts”. Send in your report even if you have no activity to report. You are to report “no activity today/no activity this week” if such is the case. You will find this report at:

How big is my division?
How much does this job pay? We cannot pay remote employees by the hour but you will be paid a very generous 15% of all NET TO NROTC donation dollars produced by your tablerep weekly by direct deposit or mail. Because we are a charity, your income is capped at $2,000 per week.
What are NET TO NROTC Donations? Your tablereps will be allowed to reimburse themselves in cash for their expenses, up to 25% of the contents of their donation container. These authorized expenses include mileage at 25 cents per mile to and from their home, road tolls, initial table supplies, additional table supplies, any table setup or registration fees that may be charged by any event promoter and gratuity items purchased from NROTC or any other vendor.
How many donations does an average table setup produce? We have been doing donation table setups in the State of Maryland for three years now. We ran the numbers. The average table setup produces $312.00. Most of our table setups have been grocery stores and not larger weekend events.
For evaluation purposes use our average $312.00 minus 25% = $234.00 AVERAGE NET TO NROTC. A little less than $234.00 is not too bad. Your tablerep’s expenses will not always be as much as 25% and donation dollars received will vary.
*Your division will be under-performing if you are booking less than 2 events/setups per day for your tablereps.
*After you have had a chance to build your division, it will be expected to be performing at a minimum of 3 events/setups per day or 21 setups per week. Booking 3 events/setups per day for your tablereps is NOT a difficult task, especially considering the size of your division.
RECOMMENDATION: While NROTC has no requirement that Event Coordinators qualify by doing a donation table setup on their own their own first, WE STRONGLY RECOMMEND IT!
We believe you will need this experience before training your tablereps to do this.
Doing a table setup on your own should be your first order of business!
YOUR SUGGESTED PLAN OF ATTACK
(Start earning money asap)
FIRST – BOOK AND HOST A DONATION TABLE!… (Anywhere)
BOOK EVENTS FOR YOUR PAID TABLEREPS!
Booking Stores and Events:
Booking table setups at grocery stores and events for your tablereps (volunteer or paid)… and transmitting this information to them will be one of your primary duties.
*To find places where you can obtain permission to setup our donation table, go to: www.yellowpages.com and search “Grocery Stores”, “Walmart”, “Sam’s Club” or whatever, within your division.
*Or GOOGLE “Grocery Stores”, “Events and Fairs” in (State, City, within your division)” … You will not run out of places to call!
You should be able to find some good events within your division at EventLister.com
There are many local community, county-wide and state-wide FACEBOOK GROUPS that focus on local events and festivals and such. Search Facebook for these groups and you find many events and event promoters to contact regarding sending your tablereps to these events. Try search terms similar to “Events (Cities and Counties within your division)”.
MAKE EVERYTHING SIMPLE AND EASY!

Al prefers that you try to make all communications via email at email@example.com
When absolutely necessary contact Al by phone at 919-834-8490 before 5PM EST.
Additional Import for your Booker Program: While inside our stores-usa.zip file, look for and open Flea_Markets_USA.zip. Open this file in a spreadsheet program on your computer. Filter out anything not in your division by city, state, zipcode or area code. Now you have a list of almost every flea market in your division. Import this list into your Booker Program also.
We typically use the following “TABLE SETUP PERMISSION FORM” as a written confirmation of any table setup booking. It is typically faxed or emailed to a store manager or event promoter immediately after scheduling a setup. Most of these store managers and event promoters use their fax. Our Booker Program will send a fax for you.
Some store managers and event promoters like to verify that we are a legitimate nonprofit organization and we like to include our “IRS 501(c)(3) Determination Letter” consisting of two pages along with our Permission Form.
With each Permission Form, we suggest you also enclose our “FLYER”. You can also use it as a table display card or have them available on your table as a handout.
(Use this to send in your donations by mail)
After you have completed your “Tracking Sheet” and before you send it in the mail, take a few short minutes to transfer this information to our “Online Tracking Sheet”. It’s easy to do. Just go here: nrotc.us/donor-entry-form.htm

These mini-clipboards are great for your card-signing table
(Available at most office supplies stores)
Here is a nice 48″ wide Table Banner – that you can print from your computer using 6 pieces of paper or cardstock. (We recommend cardstock for better results) Tape them together or glue them to posterboard. This is a nice way to create your table banner at practically no cost.
Helpful Hint: When printing your pages adjust your printer settings to “Print Borderless”.
Inside this download is also a 11″ X 48″ graphic file that you can take to any printer or most office supplies stores and have them make a banner for you.
Have a smaller table? – Print this 36″ wide table banner from your computer using 4 pieces of paper or cardstock. Adjust your printer settings to “Print Borderless”. Inside this download is also a 8.5″ X 36″ graphic file that you can take to any printer or most office supplies stores and have them make a banner for you.
Optional for your table: – Purchase an inexpensive three-ring binder and a pack of three-ring plastic page protectors. Open the file below and print out our prospectus pages. Insert our pages into your plastic page protectors and insert these pages into your binder. When someone at your table wants to know more about NROTC, flipping through these pages makes it much easier to show someone who we are and what we do. Having our “Prospectus Book” on your table is highly recommended.
This is a .zip file. It’s a huge file. It will take some time to download. You will need to unzip it.
What you say to people at your table is mostly up to you as long as you are being courteous, not too aggressive and not misrepresenting NROTC.
Please study here on our website to internalize who we are and what we do. This way you will be able to speak with authority about us and answer questions people may ask properly.
Here is some suggested verbiage to use at your table:
Welcome to (Name of store or event) today.
We’re sending “Thank You” cards to our troops and “Get well Soon” to hospitalized veterans. Can you take a moment to sign one here? (holding card)
We’re collecting for our homeless and disadvantaged veterans. Can you help?
We provide emergency cash grants to veterans who need financial help. Can you donate a little something?
Come on (Name of town)… Let’s show our troops and veterans we care.
When they come up to your table you might want to say;
(Or just let them drop a donation in your box. Many will)
If you ever wanted to thank our troops and veterans, here’s your chance.
(hand them a card) Write something in your own words. Make it come from your heart.
Tell ’em thanks, offer some encouragement, Let ’em know we support ’em from here at home.
Please sign your card and include your hometown and State.
Other things you might want to say;
We work to combat depression, PTSD and suicide. Did you know we lose 18 troops and recently returning vets to suicide. This is why boosting morale is so important and this is why we are here today. Think it out a little and write something really good here okay. (Hand them a card and pen, or clipboard)
We appreciate anything you can do. (Point to donation container)
When it comes to supporting troops and veterans, we can never ask for too much. The amount is up to you. Can you help out a little today?
Occasionally, a donor will ask for a receipt. You are required to give a receipt to a donor for any donation of $75.00 or more.
DOWNLOAD OUR DONOR RECEIPT
(Use carbon paper. Give one to donor. Send other to NROTC.)
You should always have a few Emergency Financial Aid Grant Applications with you. They do not need to be on your table. Whenever you hear of a veteran in need, feel free to offer one of these.
DOWNLOAD OUR EMERGENCY AID APPLICATION
On the bottom these you will notice there is a tear off and return with your donation portion. Write your name on the back of the return portion and get a 30% commission on donations that arrive to us by mail from these. Print out and hand out as many of these as you want!
DOWNLOAD OUR 2″ PEAL AND STICK LABEL TEMPLATE
(20 per 8.5 inch x 11 inch page)
Never embarrass yourself by asking someone to donate twice. Purchase 2,000 blank labels online for about $17.00 and print these out. Give every donor one of these to stick on their shirt. This helps you another way because other people at your event will see these and this may encourage them to donate.
Occasionally, a donor will ask for a receipt.

NROTC is all about getting cards signed by good Americans and sent to our troops and hospitalized veterans. Having gratuity items on your table IS NOT REQUIRED and there is no need to go overboard with this. You will find that many people will be happy to donate to NROTC without expecting anything in return.
NROTC recommends that you have a few inexpensive gratuity items such as candies, flag lapel pins or key chains on your table… to offer a potential donor as an incentive or a way of saying “Thank You”.
YOU ARE NOT SELLING ANYTHING!!!
This is an acceptable procedure according to IRS rules but be certain to offer a gift in the proper manner.
SAY… We’ll be glad to give you this “Keychain or Whatever” as our way of saying THANK YOU… for your very generous donation.
DON’T SAY… Keychains are $5.00 each… Got it?
If someone says “That’s too much”… You reply with… “Its a donation that helps homeless and disadvantaged veterans and their families”. “This gift is just our way of saying Thank You”.
You determine your own dollar amount you want before giving a gratuity item!
HERE ARE A FEW GREAT SUPPLIERS AND SPECIFIC PRODUCT LINKS:
Purchase direct from supplier online – We are not in the business of making money selling these items to you.
Make your donation table fun and more interactive. Attract and hold more donors. Increase Donation Amounts!… with this Prize Wheel! Write in certain gratuity items with your erasable magic marker or tape your gratuity items to the wheel. Let your donors ““SPIN THE WHEEL”… to see what gratuity item they receive! The cost of this wheel is reimbursable.
